BIOS V2
Privacy Policy
How BIOS collects and uses participant information.
Version 2026-09-28
Information we collect
BIOS collects account details, contact information, institution details, team information, submissions and review records needed to run the hackathon. Participant verification may include a college or school ID. SEED registration also includes school details and a signed guardian consent form.
How we use it
We use this information to verify eligibility, manage teams, receive submissions, run judging, prevent abuse and contact participants about BIOS.
Who can access it
Public profiles and leaderboards show only the information stated on those pages. Identity documents remain private. Only authorised organisers and the relevant approved SPOC may review them. Judges receive only the information required for judging.
Storage and deletion
Application data is stored in the BIOS database. Private documents use protected storage and temporary signed access links. BIOS keeps verification documents until the hackathon and required offline checks have ended. Organisers delete them manually after the event.
Service providers
BIOS uses Google for account sign-in and Cloudinary for protected document storage. These providers process the minimum information required to provide those services.
Your choices
You may ask the organising team to correct your details or remove your account, subject to records that BIOS must retain for event integrity and dispute handling.
Security
BIOS restricts document access, validates uploads and records administrative review actions. No online system can guarantee absolute security, so participants should upload only the documents requested by the form.
Questions about this policy should be sent through the official BIOS contact channels listed on the website.
